STANDARD OPERATING POLICY

 

Use of Facilities

 

 

Purpose:           To provide a mechanism for acquiring permission to use the Fire Department meeting halls.

                       

Scope:              This policy applies to meeting hall and ancillary areas of all fire stations.

 

Procedure:        The meeting halls will be available for private use by members or non-profit organizations in which members are directly involved.

 

                        Civic organizations such as Boy/Girl Scouts will be accommodated whenever possible.

 

                        No alcohol will be permitted at events.

 

                        To be eligible the member must be in good standing.

 

                        A refundable deposit of $100.00 shall be posted to the company captain prior to the event and will be refunded after he or his designee has made an inspection and is satisfied with the condition of the facility 

 

The halls will also be available for town sponsored and fire service related educational programs.  The chief and division secretary will manage these bookings.  Notification will be made to the captains of such.

 

The member will schedule the use of the hall with the division secretary, after permission is granted by the station Captain who will relay the info to the Chief.

 

The member will be responsible for all set up, clean up and returning the room to its original condition, this includes mopping the floors; access to the custodial closet will be made available.

 

The room will be returned to its pre-event condition within 24 hours.

 

Full-time employees are not available to assist; if additional chairs or tables are needed then it’s the member’s responsibility to make the necessary arrangements with the other stations

 

Decorations such as streamers, balloons, posters banners etc, are to be limited to windows and tables—absolutely no taping or tacking to the ceilings or walls is allowed.

 

The member is financially responsible for any damage to the facility, its contents or vehicles.

 

The use of the facility is a privilege and as such the company captain or chief have the right of refusal.

 

Vehicles should be parked in a manner so that access to the station is not impeded.

 

Children must be supervised at all times.

 

The department’s smoking policy is to be followed.

 

If appropriate a Certificate of Liability of Insurance will be required in the amount of 1,000,000 naming the Town of Rocky Hill as additionally insured.  The Chief or his designate will make this determination.
